Users and permissions
This is where you manage who on your team has access to the app. From here you can invite new teammates, see who's active or still pending, update their profile info, and control who has full administrative access.
Steps
Invite a teammate
- Open Settings and go to the Users tab.
- Click to invite a new user.
- Enter their email address — this is required, and it's what the invitation is sent to. Name and phone number are optional.
- If they should have full administrative access from the start, check Make admin on activation. You can leave this off and promote them later instead.
- Click Send invite. Your teammate receives an email invitation and shows up in the Users list with an "Invited" status until they accept it, at which point they become active.
Edit a teammate's access
- In the Users list, find the person and open their row menu.
- Click Edit to update their name or phone number.
- To change their administrative access, choose Promote to admin or Demote from admin from the same menu.
- To temporarily remove someone's access without deleting their account, choose Deactivate. They can be reactivated later with Activate.
- If someone hasn't accepted their invitation yet, you can Resend invite or, if it's no longer needed, Rescind invite to cancel it — they'd need a fresh invitation to join after that.
Everyone can edit their own name and phone number from their own row, whether or not they're an admin.
Roles
There are two levels of access:
- Admin — full access, including inviting and managing other users, connecting and configuring integrations, and changing account-wide settings.
- Regular user — can use the app day to day (contacts, campaigns, automations, and so on) but can't manage other users' access or change account-level settings like integrations and sending setup. In Settings they see Business DNA (view only) and Usage; the other sections are hidden. Opening a hidden section's link directly shows a short "Admin only" note rather than an error.
The account always needs at least one active admin, so the app won't let you demote or deactivate the last remaining one — promote someone else first if you need to step back.
Tips
- A person's email address can't be changed from this screen — it's tied to how they sign in. If someone needs a different email, rescind their invitation (or deactivate their account) and invite the new address instead.
- Deactivating someone is reversible and keeps their history intact; it's the safer option if you're not sure whether they'll be back.
FAQ
Q: What happens if I rescind an invitation by mistake? A: Nothing is lost — just send them a new invitation to the same email address.
Q: My teammate says their invitation link doesn't work. A: Invitation links are single-use and they expire, so a link that has already been opened once — or that has been sitting in an inbox for a while — won't work a second time. The sign-up page says so and points them back to you. Use Resend invite on their row to send a fresh link.
Q: Can a regular user invite other teammates? A: No, only admins can invite, edit, or change the access of other users.
Q: Does deactivating someone delete their data or history? A: No. Deactivating only removes their ability to sign in; their past activity stays intact and they can be reactivated at any time.
